Write the handoff before buying the tool.
Describe the result of a useful conversation. Which details must be captured? Where should they go? Who takes over? What should the assistant do when it does not know the answer?
Booking adds requirements beyond conversation: a supported calendar, appointment types, availability rules, cancellation and rescheduling. A convincing demo does not establish those details for your business.
Use five questions to define the scope.
- Where do customers or staff ask this question today?
- Which questions have an approved, reliable answer?
- What action should follow a successful interaction?
- When should a person take over, and who is that person?
- Which ordinary and failure cases must pass before launch?
Start with the channel carrying the problem.
If calls are missed, review the phone journey first. If visitors leave with unanswered questions, review website content and chat. If staff search through documents, review internal knowledge. You may connect several assistants later, but each should have a distinct job and owner.
